In addition to such logistical contributions to archaeological workflows, digital technology also has tremendous potential to transform the ways that archaeology is done by shifting how we see our sites, and how we document them through diverse data types. Digital systems effectively replicate the information recorded on paper forms, while also offering recording advantages for archaeologists in the field. In addition to such logistical contributions to archaeological workflows, digital technology also has tremendous potential to transform the ways that archaeology is done by shifting how we see our sites, and how we document them through diverse data types. With the goal of exploring this potential, we developed a tablet-based relational database, using FileMaker, which provides the ability to simultaneously record specific characteristics of artifacts and features according to two cultural perspectives—modern archaeological understandings and also those of the Classic Maya. In this article, we describe the database and discuss the results of a pilot field season using the database to record excavations at the site of Say Kah, Belize. Our experiences yield several broader reflections on the impact of using digital recording systems both for practical advantage and for productive shifts in perception. This paper summarizes the evolution of the project’s paperless system and presents lessons learned during five seasons of use (2011–2015) and during the author’s work with two other projects: the Pompeii Archaeological Research Project: Porta Stabia (Italy), and the Say Kah Archaeological Project (Belize). It identifies problems commonly encountered during the implementation of paperless systems and offers recommendations for avoiding or fixing them. Many of these problems are not unique to projects with digital recording systems, and most difficulties were not technical in nature. Rather, many of the most significant problems arose from integrating workflows. Digital recording systems can streamline fieldwork, improve the quality of data collected in the field, significantly reduce errors and misunderstandings, and facilitate new interpretive approaches, but they require thoughtful preparation and implementation. Because digital data are so new in comparison to paper records, archaeologists lose data frighteningly often. First, this thesis summarizes my experience interning with Digital Antiquity, an organization specializing in preserving digital data. Second, this thesis details considerations in preparing, storing, and disseminating digital archaeological information. Finally, this thesis describes potential cultural, professional and educational concerns for users of digital archaeological repositories. As archaeologists create greater amounts of digital data, the digital curation crisis will grow. While a perfect solution has not yet been implemented, pioneering archaeologists have identified steps every archaeologist can follow to ensure that the fruits of their intellectual labors are not lost, while at the same time taking advantage of the unique properties of digital data to improve data and information sharing and use in archaeology. Digital data are useful in ways that data on paper are not and cannot be. Digital data allow archaeologists to collaborate on large projects, communicate more effectively, and even reconstruct entire excavations. However, digital data are also far less stable than paper records. While a paper record may last well over a thousand years if kept in the right conditions, digital data are often unreadable in less than ten years, even when traditional preservation methods are used. Digital storage is becoming the norm for archaeological publication, even though most archaeologists probably do not consider the downsides of digital publication. Moreover, many specialized archaeological data only exist in digital formats (e.g., laser scans, digital photographs, extensive databases) and archaeologists will (and have) lost these datasets because of faults in digital preservation. Digital data often represent the only record left after archaeologists excavate a site, and the loss of such valuable data is akin to bulldozing a site. This thesis details my experiences during my internship at Digital Antiquity (an organization which specializes in data archiving), provides examples of other projects working on the digital curation crisis and gray literature problems, and finally discusses the needs that these organizations may not be considering fully in their plans. Since some years ago, other sites from around Catalonia have been added, and we now have three undergoing intervention projects that include 13 archaeological sites with chronologies that range from the 7th to the 17th century, most of them located in the Catalan Pre-Pyrenees. Since the early 2000 this team has been eager to implement and use emerging technologies. Our main motivations have been ameliorating data analysis and interpretation, fostering dissemination and public engagement, but also overcoming the challenges that our work implies: mountain sites that are difficult to access, lack of time and, especially, short funding. With these goals in mind, we have been using for some years 3D reconstruction tools, GIS, databases and 3D digital recording methods. These new techniques and methods, applied both to our field and laboratory work, have profoundly changed our workflow. The use of new tools to process and work with those data are also fostering the interpretation exercise and helping build archaeological and historical knowledge (Costa &amp; Sancho, in press). However, their implementation by fits and starts, the lack of funding to provide proper training to our team (or to have a specialist on the matter), and the dramatic growth our site set has undergone in the last few years (from 2 active sites in 2014 to 11 excavation and 4 survey sites in 2022) left in result a slightly chaotic, Frankenstein-like flow that combines both digital and analogic processes, with a lack of standard procedures (differences in the recording and processing methodology amongst the different sites), high risk of miscommunication, and redundant data. The field data is currently recorded mostly on paper (stratigraphic context information) or by digital means or tools (topographic data, graphic data). For some specific excavations, a database (running on a tablet) is updated on-site. The finds and artifacts are later studied in the Medieval Archaeology Laboratory (LAM-UB) and the data collected from their analysis is normally registered in internal simple databases or Excel files. In 2018, a new recording methodology was introduced to all site excavations within the project. Since then, all stratigraphic contexts are being recorded with georeferenced photogrammetry, creating 3D models that are the core of the documentation of those contexts that are now already destroyed. This new methodology is giving great results in terms of accuracy and efficiency, and is now opening a great deal of possibilities, even though it is now mostly used to produce 2D recording traditional results, such as archaeological planimetries and sections (Batlle et al., 2022). However, it also highlights the need to better document the digital data (which is more easily decontextualized) and to link it with all the related archaeological, landscape and historical data. The new technologies implemented have been game-changing for our team, and the workflow described is giving us good results, as it allows us to work in a more efficient way and to record more and better data. However, we are aware it is not perfect: sometimes the data are not centralized nor interconnected, and, as they are processed, stored and managed by the site directors only, they end up in silos of information corresponding to each site. This hinders data integration and makes it difficult to analyze and understand the data in their completeness, which could prevent the main project goals from being properly reached. Currently, there are multiple and heterogenous datasets created and managed within the project (which include field data from different sites, 3D models, artifacts’ data, etc.) scattered across multiple locations, with or without proper backups and lacking an updated tracking or recording system. We are now facing a new problem: the management and preservation of a big (and growing) amount of data. We know positively that digital tools, techniques, and methods, although they may have been one of the causes of our current problems, are also the answer. However, it is clearer than ever that with great power comes great responsibility; an inappropriate implementation or a misunderstanding of their potential can do more harm than good, and the need to train ourselves to be able to adapt to the current challenges, and those yet to come, is becoming a crucial matter. In our presentation, we will describe and map our current workflow(s) exploring how this slow implementation of the emerging digital technologies has been shaping it during the past decade and reassessing it. We will also evaluate all the positive and negative aspects that the digitization of the archaeological recording methods have brought us, pondering over the experience accumulated during these years, trying to extract valuable lessons from our (both good and bad) experiences, and drawing some future improvement lines –either on paper or on digital tools. The advent of computers and the Internet have enhanced some basic concepts for which paper documents have traditionally been used, such as the management of information on an external platform. Some benefits of using computers are the speed and ease of aggregating and disseminating information. This research will review preservation methods on how to ingest a legacy archaeological collection into an international online digital archive repository called the Digital Archaeological Record (tDAR). This online repository is housed by the Center for Digital Antiquity and is a secured databank that has relational capabilities to combine various datasets from different archaeological investigations. This online archival repository was established to improve and assist in the preservation, dissemination, and access of archaeological data, which is a nonrenewable resource. The archaeological legacy collection used here is the Anasazi Origins Project (AOP). The AOP is particularly significant for its contribution to defining the Archaic northern Southwest. The benefit of ingesting this collection into tDAR is to establish the foundation to centralize various components such as paper documents, artifacts, and photographs, of the AOP collection located across the United States through virtual unification. This research contributes to the ongoing discussion of whether there is a need to establish a professional niche that effectively integrates archaeology, museum studies, archiving, and information technologies. The workshop’s purpose was to bring together pioneers in archaeology and computing to discuss the development and use of mobile device technology to advance digital archaeology, i.e., fully digital recording systems aimed at creating born-digital data in the field in ways that advance projects’ research agendas. Archaeologists working at sites around the globe, including those in Israel and Cyprus, shared their insights and critiques on digital field recording techniques, tools for on-site spatial and imaging analysis, workflows, student pedagogy, as well as systems of data management and long-term curation. This paper’s goal is to share the workshop’s results in order to challenge Near Eastern archaeologists to think about how mobile computing workflows impact the practice and interpretive value of archaeology. Papers presented at the Mobilizing the Past workshop brought to light the pros and cons of converting to digital or “paperless” workflows, and also the issues and challenges that will likely dominate the discourse on future attempts to digitize archaeological data “at the trowel’s edge” including: time management, cost, data quality and quantity, systems’ design, usability, and interpretive power, and data democratization. Unfortunately, over the last two decades, climate change, growing political instability, and looting have led to the deterioration of numerous Mesoamerican archaeological sites. In this scenario, digital documentation and remote sensing technologies become invaluable resources to record, monitor, and preserve the diverse Maya cultural heritage of the Southern Mexican state of Chiapas. Current efforts in digitizing and mapping archaeological sites in Mesoamerica mostly use an inter-site approach that leverages airborne Light Detection and Ranging (LiDAR). Nonetheless, the high cost of commercial LiDAR and its current limits in capturing excavated vertical structures urged us to explore alternative approaches to digital documentation able to inform site monitoring and physical conservation and to develop multimodal 3-D survey workflows that can be adopted throughout Mesoamerica. This paper thus presents the preliminary results of our intra-site digital documentation work at the World Heritage site of Palenque, Mexico.
