It smoothly integrates with JIRA and its components to help you create different types of documents. The app offers templates to create tasks reports, retrospective meetings, etc. Plus, you can create and use your own templates. Confluence has the same permission model as JIRA, which allows you to configure access at various levels. Finally, you can embed a JIRA report inside documents and reports, which helps you to communicate with the information directly taken from JIRA.</p> <p><strong>CONS:</strong> My main grouse is the licensing model is linked to JIRA licenses. All controls are intuitive and you don't need to read the documentation or undergo training. "Watch" function helps you to keep up with updates in the entire knowledge space. Confluence is very well integrated with other Atlasssian solutions, like JIRA. Personal spaces of users can be used as private notebooks that are versioned and securely stored in the cloud.</p> <p><strong>CONS:</strong> User access configuration is not very flexible. For instance, you cannot configure access for some users for editing templates without granting them Administrator role. Table formatting functionality is limited and in some cases non user-friendly. You can share ideas on various technical topics like troubleshooting issues and setting up demos for automated programming. Each team can create their own page and fill it up with useful info. The app is also suitable for our Agile Scrum environment and we use it to organize sprint retrospectives.</p> <p><strong>CONS:</strong> The user interface could be more intuitive to make it easy to create and organize pages. The design is modern and intuitive. I’m able to assign tasks for my clients, to setup meeting notes and takeaway action items. The version control of files is extremely easy and several people can edit same file at the same time.</p> <p><strong>CONS:</strong> In my experience, it’s not always straightforward to allow editing by only some users. I don’t like that the setting is hidden and hard to find. Also the in-app file editing for uploading files doesn’t work sometimes, we had some issues when editing files in specific browsers and we had to download them, edit and re-upload them instead. It's on the cloud which means anybody that has permissions can access it from any device. Our entire team uses Confluence for documentation. The business uses it to document the new and upcoming requirements on it. The developers add their technical notes and estimations against it, the BA and QA create tickets and test cases against it. It has a great search feature so you can search on topics. You can even tag users on the page. This way if the page changes or if somebody has a question for a particular person they can tag the person. You can follow the page which will keep you updated every time something changes on the page</p> <p><strong>CONS:</strong> I wish they had a better plug in for MS Office products. I miss having Excel spreadsheet on the page. The navigation is straightforward and this makes the whole process of consuming and creating new content simple and easy. All you have to do is to navigate your content in a way that supports this tool.</p> <p><strong>CONS:</strong> What I don’t like is its slow pace. If you have good server then it won’t be a problem but if you are self-hosting then you would experience this issue. Also, I don’t like that they haven’t updated their design for a years. The system allows you to create and customize your own templates if you wish. You cannot simply drag and drop them for reorganizing. Instead, you have to edit the hierarchy to move items around. This is very upsetting for me. It integrates smoothly with JIRA and you can use macros to refer directly to JIRA issues. Plus, Confluence offers a great WYSIWYG text editor which is much better than Evernote.</p> <p><strong>CONS:</strong> I can point out a few drawbacks. There are not enough languages for syntax highlighting. The search feature is basic and it is difficult to find the documents you need. Finally, if concurrent edits are made to a document, the Nth edit will overwrite the N-1th edit. I like the best that you can tag specific people and specific departments that should be involve in an ongoing project or that need to take an immediate action. it's also very simple to share documents with different departments. You can create a library of specific documents that apply only to your department and share them with them privately. Other people can also collaborate online on these documents. You can also assign cases/tasks to multiple people and select the priority of the project to take into consideration other projects timeline as well.</p> <p><strong>CONS:</strong> At first, it was very complicated to understand. Our Confluence instance wasn't user-intuitive, so it took me a few training sessions to understand how to use the platform at its capacity. My confluence permissions at best were not the same as the ones for my team, so i couldn't see the same layout or documentation. All these services work pretty well together but I believe it requires some work to get them all working well. This ensures I can maintain good data security. The app is easy to set up and use as everything is point-and-click. The Spaces feature helps to keep everything organized. You can grant permission to these spaces based on user role and define what each user can do in the spaces. </p> <p><strong>CONS:</strong> The graphic user interface can be a bit slow at times. The mobile interface is limited but comes in handy when you wish to access your data in the field. You can easily share pages with your team members and they can receive updates as soon as you modify the data. The Spaces feature ensures specific areas don’t get cluttered and overflow with info. The page creation functions resemble MS Office apps which makes it easy to work within a page. Plus, you can attach DOC, XLS, PDF files, etc. to a page and launch it immediately.</p> <p><strong>CONS:</strong> The one issue with email updates is if multiple updates are done to a page, then your inbox is flooded with email updates about the changes. Most people hate documentation, but Confluence is so easy to use it makes the process an enjoyable one. I document a lot and the system enables me to use my keyboard for formatting through macros and keystrokes without needing to use a mouse.</p> <p><strong>CONS:</strong> I have no complaints about the application. The only minor glitch is search results are not ordered by relevance. It may be my imagination or it could be a configuration decision of the administrators. Although the software was first used by our product and dev teams, our marketing team has transitioned over so everyone in the company can work off of one system. It's "information management" rather than "document management". I used to work at Atlassian, the maker of Confluence. While working there I appreciated the fact that ALL of the company's information was stored in Confluence. Now that I'm working somewhere else, I have come to fully appreciate the benefits of Confluence -- due to its absence! The real benefits of a corporate wiki can only be truly attained by committing to it all-in. For example: * Stop sending documents via email -- put the information on a wiki instead * Stop email chains -- comment on the wiki pages themselves, and be automatically informed about updates and new comments * Make all your corporate information searchable, rather than sitting in Office documents on individual computers * Encourage information sharing by opening access of the wiki to as many staff as possible * Staff who join the company have immediate visibility to all past information In contrast, my current company sends all information via email and each person must keep their own email archive. Somebody who joins the company has no visibility to what happened in the past. There's no easy way to "discuss" information in the same place that the information lives. I like that there are lot of templates available that are institutional related. You can set up alerts, watch pages, and mark favorite pages. Another useful feature is you can link to other pages and we use this feature a lot in our company.</p> <p><strong>CONS:</strong> I don’t like the “digest” that the app sends to my email. I want to receive email alerts about page changes only once a week. But the digest comes often and it doesn’t clarify which pages changed and what are the changes. We are able to create various spaces so we can stay on the top, to reduce noise and to increase the chances of adding value. We don’t use it only for sharing information with the team but to provide access to our customers and to allow them to update and review their specifications. This tool allows total transparency so everyone is in the same page. It provides templates for common pages, I personally like SCRUM page templates to document into the SCRUM workflow.</p> <p><strong>CONS:</strong> There is a learning curves for newbies so they can learn about its options and cases. Plus, admin can restrict the access to certain users.
